Job Description:
The Medical Administrative Assistant will support clinic operations by managing front-end administrative tasks, patient communications, and clerical functions. This role ensures the efficient flow of information between patients and medical professionals while maintaining compliance with health information privacy standards.
Job Duties:
- Manage patient scheduling, confirm appointments, and professionally respond to telephone and in-person inquiries.
- Maintain and update patient information using electronic medical records (EMR), ensuring accuracy and confidentiality at all times.
- Prepare and format correspondence such as referral letters, requisitions, and general documentation for physician approval.
- Collect and verify patient demographics and insurance information during intake, and update files accordingly.
- Complete and process billing, insurance forms, and payment records in coordination with clinic policies.
- Compile agendas and meeting documents; record and transcribe meeting minutes when required.
- Organize internal reports and documentation to support clinic decision-making and recordkeeping.
- Track inventory and coordinate ordering of office and medical supplies to maintain operational readiness.
- Assist with defining and improving administrative routines to support workflow efficiency and team communication.
- Maintain discretion and professionalism when handling sensitive patient information in accordance with privacy legislation.
- Support physicians and clinical team with clerical and coordination tasks to streamline clinic operations.
- Assist in onboarding and training of new administrative staff on clinic systems and procedures as required.
Requirements:
- Diploma or certificate in office administration, medical office administration, or a related field.
- At least 1 year previous administrative experience in a medical, legal, or other professional services environment.
- Comfortable with digital tools including Microsoft Office and EMR software.
- Strong organizational skills and ability to manage multiple tasks with high attention to detail.
- Demonstrated ability to handle confidential information with discretion.
- Effective verbal and written communication skills.
- Experience in preparing professional correspondence and documentation.
- Familiarity with Canadian medical billing processes is an asset but not mandatory.
- Ability to communicate in Igbo language or Pidgin English is an asset but not mandatory
